5. How to Specify Machinery Technically: The Brief That Protects Your Investment
An incomplete technical specification is the root cause of 70% of problems in machinery imports. The time invested in writing a complete technical brief pays for itself:
- Exact production capacity: not "1,000 pieces/day" but "1,000 pieces of [exact description] in an 8-hour shift with an operator of [skill level]".
- Materials to be processed: type, thickness, hardness, temperature. For a steel cutter: steel grade (A36, 304SS, etc.), maximum thickness in mm.
- Site electrical conditions: voltage (220V or 380V three-phase), frequency (50Hz or 60Hz). A mistake here can burn out the motors when the machine is switched on.
- Maximum allowable dimensions: access door width, ceiling clearance, maximum floor load (in kg/m²). A machine that doesn't fit through the door or sinks the floor is a real problem.
- Required level of automation: manual, semi-automatic, CNC? For CNC equipment, which control system (Fanuc, Siemens, Mitsubishi)? The choice of control determines whether local technicians are available for maintenance.

6. FAT, Inspection and Testing Before Shipment
Factory Acceptance Test (FAT): the most important test
The FAT verifies that the machine works at the factory before it is packed and shipped. For machinery over USD 10,000, a FAT is mandatory. It should include:
- A full production cycle test for at least 2 continuous hours
- Measurement of real vs. specified capacity (pieces/hour, finish quality)
- Verification of all electrical parameters: voltage, amperage, consumption in operation
- Testing of safety systems: emergency stops, thermal protection, limit sensors
- Verification of critical components: brand and model of the PLC, drive, sensors, pneumatics
- A full video of the FAT as documentary evidence

7. Logistics for Heavy Machinery: Containers, Documentation and Unloading
Container types by machine dimensions
- Standard 20' container: interior 5.9m × 2.35m × 2.39m high. For machinery up to 2m high and 2m wide.
- Standard 40' container: interior 12m × 2.35m × 2.39m high. For long machinery or several machines.
- 40' High Cube (HC) container: interior height 2.70m. For machinery taller than 2.39m.
- 20' or 40' Open Top: no rigid roof, so machinery taller than a standard container can be loaded by crane from above.
- 20' or 40' Flat Rack: no walls or roof. For extremely wide or tall machinery. Freight costs more per equivalent space.
Mandatory industrial packaging
Machinery must be packed in treated wooden crates (ISPM 15) to meet phytosanitary import requirements in Latin America, the US and Europe. Untreated wood can be rejected at customs or require mandatory fumigation (an extra cost of USD 300–800). Moisture protection (silica gel, VCI film) is especially important for machines with exposed metal parts on long ocean voyages.
Unloading and moving at destination
Plan the unloading before the container arrives. The critical points:
- A crane with sufficient capacity: calculate the total weight of the machine with its packaging (the supplier must give you the exact gross weight).
- Access dimensions: check that the unpacked machine can pass through your facility's door (a common mistake with large-format machinery).
- Foundations or floor reinforcement if the machine requires it: heavy machinery over 2,000 kg or machines that vibrate need anchoring. The supplier should provide the recommended foundation drawing.
